Enhancing Collaboration Through Clearer Communication and Effective Meetings
In short:
- Meetings have to include an agenda and will be declined otherwise.
- When a meeting is canceled or moved, always provide a reason.
- Avoid acronyms or spell them out.
- Add and include context, even if you think the other person already has it.
- Ask questions and encourage others to ask as well.
At Novu, we always seek ways to improve our communication and collaboration. Here are two key updates that will help us achieve these goals:
1. More Efficient Meetings:
- Agendas are Essential: From now on, all meetings must have a clear agenda. This ensures everyone understands the purpose of the meeting and comes prepared. If you receive a meeting invite without an agenda, feel empowered to politely decline and request one to be added before attending.
- Standardized Templates Coming Soon: We're developing a standardized agenda template to streamline meeting preparation. In the meantime, use a format that works best for your specific meeting.
- Cancellation Transparency: If a meeting is cancelled, you'll receive a notification with a brief explanation.
2. Clearer Communication:
- Acronyms Explained: We're a company full of smart people, but acronyms can sometimes create confusion. Moving forward, please avoid using acronyms without including the full term in parentheses the first time you use it in your communication (e.g., KPI (Key Performance Indicator)).
- Context is Key: When sending information, consider if there's additional context your audience might need to understand fully. If so, include any relevant background or send any necessary materials in advance.
- Embrace Questions: Open communication is vital! Don't hesitate to ask questions during meetings or after receiving information to ensure everyone's on the same page. Similarly, when presenting information, encourage active listening and questions from your audience.
